Organisational Units

Organisational Units


You can find Organisational Units in FreePayroll > Company > Organisational Units.


What it is


Organisational Units let you group employees into a named unit, such as a team, department, or location.


They are used to keep your payroll structure organised and are shown in reporting and on payslips.


How it works


You can:

  • Create a new organisational unit
  • Rename an existing unit
  • Archive a unit you no longer want to use


Each organisational unit has:

  • a name
  • a status: Active or Archived
  • an employee count


Where to assign an organisational unit


You assign an organisational unit from the employee record in:


People > Team Members > open the employee > General


From there, you can select an active organisational unit for that employee.


Where organisational units are used


Organisational Units are currently used in these areas of FreePayroll:


  • Employee records: to group employees under a team, department, or location
  • Payroll journal exports: organisational units can be used in advanced payroll journal mapping to route entries differently based on organisational unit
  • Accounting mappings: organisational units can be used as a condition when setting custom journal/account mappings
  • Payslips: if an employee has an organisational unit assigned, it can be shown on their payslip


Archived organisational units


If an organisational unit is archived:

  • it remains visible in the Organisational Units list as Archived
  • it cannot be assigned to new employees
  • employees already linked to it may still show that archived unit until they are reassigned


Important rules


  • Organisational unit names are required
  • Names must be 50 characters or fewer
  • You cannot create two organisational units with the same name
  • This feature is only available on plans that include Organisational Units
