How to Correct Payroll Errors Using FreePayroll's Rollback Feature

Correcting Payroll Errors with FreePayroll's Rollback Feature

We understand that errors can occur, and to address this, we've developed a rollback feature designed to help you correct mistakes efficiently.

**How to Correct an Error**

The procedure to correct an error depends on when the error is discovered:

**Errors Discovered On or Before Pay Date**

Navigate to the Payroll: Go to the desired payroll where the error occurred.
Initiate a Rollback: Click on the "rollback" button to revert the payroll to a prior state.
Make Corrections: Apply the necessary corrections directly within the payroll.
Automatic Resubmission: FreePayroll will automatically detect which employees were corrected and will resubmit the Full Payment Submission (FPS), updating the Year-To-Date (YTD) figures for those specific employees.

**Errors Discovered After the Pay Day**

Navigate and Rollback: Follow the steps above to navigate to your payroll and initiate a rollback.
Check the Box: Before submitting the payroll, ensure you check the box labeled "This payroll will be submitted after pay day."
Select Late Reason: Choose late reason H - Correction to earlier submission from the options available. This indicates that the submission is a correction to a previously submitted payroll.

**Important Considerations**

- Updating NI Categories and Tax Codes: Be mindful that NI Categories or Tax Codes may have changed. It is crucial to update these details accordingly.
- Impact on YTD Figures: The Year-To-Date figures for employees will reset to the beginning of the selected period. Since payroll figures are cumulative, any alteration in a previous period will influence all following periods. Consequently, FreePayroll will require you to rerun payroll for all periods up to your current period to ensure accuracy.

**Important Note**

- NI Category Errors: If an error involves reporting the wrong National Insurance (NI) category for an employee, do not use the rollback feature. Instead, please contact support directly for assistance with these specific corrections.
